Inviting Team Members

Bring the rest of your team into WasteNot so everyone can collaborate on audiences, campaigns, and reporting from the same workspace.

Sending an invite

  1. Open Members under Settings → Organization
  2. Click Invite in the top right
  3. Enter the teammate's work email address
  4. Click Send Invite

WasteNot will email them a link to join your organization. New invitees join as a Member by default — you can change their role after they accept.

What your teammate sees

The email comes from WasteNot and includes a button to accept the invitation. Clicking it opens a registration page where they create their WasteNot account — either with an email and password, or with Sign up with Google. Once they finish, they land in your workspace.

A few things to know:

  • They need to be signed out when they click the link. If they are already logged into another WasteNot account, they will see "Cannot accept an invite while logged in" and need to sign out first.
  • The invite is tied to the email address you sent it to.
  • Tell them to check spam if they do not see the email within a few minutes.

Roles

Every teammate has one of three roles, shown next to their name on the Members page:

  • Owner is the only role that can manage billing. Each organization has one Owner. The Owner can do everything an Admin can.
  • Admin can manage members (invite, change roles, deactivate) and edit organization settings, but not billing.
  • Member can use the rest of the app — audiences, data sources, campaigns, and reports — but cannot invite or remove teammates or change organization settings.

To change someone's role, click their name on the Members page, then click Change next to their role. You can promote a Member to Admin or demote an Admin back to Member. The Owner's role can only be reassigned by support. Only Owners and Admins can change roles.

Managing pending invites

Invites you have already sent appear in an Invites section below the members list. Each row shows the email, status (Sent or Expired), and when it was sent.

  • Resend — Sends a fresh invite email with a new 7-day link. Use this if the original was missed or has expired.
  • Delete — Cancels the invite. The link in the original email will no longer work.

Removing access

To remove someone who has already joined:

  1. Open Members
  2. Click the menu on the right of their row
  3. Choose Deactivate

Deactivated users immediately lose access to your organization but their history (audit logs, audiences they created, etc.) is preserved. They appear in a Deactivated Users section at the bottom of the page if you ever need to Reactivate them.

Frequently asked questions

Is there a limit on how many people I can invite?

No. Invite as many teammates as you need.

My teammate already has a WasteNot account on another organization

Each WasteNot login belongs to a single organization, so they will not be able to accept the invite with their existing email. Reach out to support@wastenot.io and we'll help get them moved over.

My teammate's invite link says it has expired

Invite links are valid for 7 days. Open Members, find their email in the Invites section, and click Resend to send a new link.

Can I change someone's role before they accept?

Not yet — everyone joins as a Member. Once they have accepted the invite, you can promote them to Admin from their profile page.

How do I transfer ownership of the organization?

Reach out to support@wastenot.io and we'll move ownership to the right person.
